FAQ's - Managing Users

Q1: How to remove users from Prolaborate? and what are the implications of deleting a user?

Answer

In order to delete a user from Prolaborate, you have to navigate to Menu > User and License Management. 


Click on More and Select 'Delete'.


Please note the following implications before deleting a user,
1. Any work done in Enterprise Architect will remain unaffected. 
2. Similarly Diagrams, Artifacts, and Dashboards will remain unchanged.
3. Open Discussions initiated by the user will remain unchanged. Even Admin users will not be able to close or edit these discussions. 
4. If the user is the only moderator in a review, the review cannot be deleted by other users. But still, SuperAdmin will be able to delete, not edit.

Q2: Is automatic removal of users from the Prolaborate User Management system possible based on the user removal on the AAD side?

Answer

Unfortunately, there is no option in Prolaborate to remove the user (automatically or via running the script) from the user management based on the removal of the user from the AAD group side (when an employee is relieved of the organization).

However, once the user is removed from the AAD side, they won’t be able to log in via SSO into Prolaborate. Also, we have the option to multi-select capability on the User Management page. Once you have confirmed that the list of users has been removed from the organization or access to the Prolaborate application on the AAD side, using the multi-select option, you can remove the list of users in a single attempt.

FYI, the following implications are to be noted before deleting a user:

1. Any work done in Enterprise Architect will remain unaffected. 
2. Similarly Diagrams, Artifacts, and Dashboards will remain unchanged.
3. Open Discussions initiated by the user will remain unchanged. Even Admin users will not be able to close or edit these discussions. 
4. If the user is the only moderator in a review, the review cannot be deleted by other users. But still Super admin will be able to delete not to edit.
